Why we process your information?

We process your information to ensure the proper functioning and operation of our products and services. We carefully analyse what types of information we need to provide our services, and we try to limit the information we collect to only what we really need. Where possible, we delete this information when we no longer need it.

 

What information do we collect?

Sherwood collects the following information:

  • Personal identification information from users, which is necessary to operate our services. This includes at least their name and email address.

  • We do not collect personal identification (name, surname, date of birth, identity card, address, telephone, email, etc.) from patients or research participants. Healthcare professionals may collect personal information from their patients or research participants, but this information is encrypted with a 15 digits aleatory private key, which is not accessible to any members of Sherwood. The private key is only known to the user.

  • We do not collect anonymised medical information from patients or electronic medical records entered by healthcare professionals and clinical researchers.

How do we collect information?

You directly provide Sherwood with most of the data we collect. We collect data and process data when you:

  • Register online or interact with our platform through the available forms.

  • Voluntarily complete a customer survey or provide feedback on any of our message boards or via email.

  • Use or view our website via your browser’s cookies.

  • We only use functional cookies to facilitate the login process and for security reasons.

How will we use your information?

Sherwood may use the data we collect from you in the performance of any contract or transaction we enter into with you, to comply with legal obligations. Legitimate business purposes include but are not limited to one or all of the following:

  • Contact you with useful information or instructions to ensure the proper functioning and operation of our products and services.

  • Conducting data analytics

  • Improving or personalizing our services, products and communications

  • Investigating suspicious activity and otherwise keeping our site safe and secure

How do we store your information?

Sherwood prioritizes the utmost security and confidentiality of your data. To achieve this, we have chosen Amazon Web Services (AWS) as our server provider due to their industry-leading security infrastructure. The AWS server, located in Paris, France - EU, is specifically designed to meet rigorous security standards. AWS implements a comprehensive range of security measures to protect data at rest and in transit. Moreover, access to the AWS server is strictly controlled and limited to our designated system administrator. This ensures that only authorized personnel can connect to the server and manage the data. Our system administrator undergoes regular security training and follows strict protocols to maintain the confidentiality and integrity of the stored data. Sherwood will keep the medical data from patients and research participants until the responsible healthcare professional or clinical researcher revokes their consent.

Marketing

Sherwood would like to send you information about products and services of ours or associated third parties with whom we work closely that we think you might like. If you have agreed to receive marketing, you may always opt-out at a later date. You have the right at any time to stop Sherwood from contacting you for marketing purposes or giving your data to other partners.

What are your data protection rights?

Sherwood would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

  • The right to rectification – You have the right to request that Sherwood corrects any information you believe is inaccurate. You also have the right to request Sherwood to complete the information you believe is incomplete.
